This guide covers user management in Qualitia Automation Studio (QAS), a crucial first step for efficient project management. We will discuss how to create, update, and remove users, as well as the workflow and best practices for ensuring effective collaboration.
📚Prerequisites
You must have administrative access to Qualitia, which will grant you permission to manage users.
🔀 Procedural steps
👁️🗨️ View User Details
Login to QAS - Client.
Access User Management from left navigation to view existing users.
Click a User to view the User details.
The details include personal and status information like
User ID
Email
Status
Admin Role: If checkbox is selected then the user is an Administrator else not an Administrator
Project Details
Projects assigned to the user. Refer to the guide on adding a User to Projects
Role in each project
🔎Find Users
Click Find to search for users.
This will open Search User popup.
Enter the name of the user and the matching Users will be listed.
➕ Add User
Click Create User in the Users section
This will open Create User window
Enter
Name
User ID
Email ID
Click on the checkbox to the User Active
Click Save. A user is created with a default password.
Discard if you have accidentally clicked.
🛠️Update User
Method 1:
Navigate to the Users section in your QAS.
Hover your mouse over a User in Users section, Edit User option will appear.
Click Edit User.
This will open Edit User window. Update
Name
Email
Status checkbox: Uncheck to make a user Inactive or Check to make a user Active
Click Save. The user is saved with the edited values.
Discard if you have accidentally clicked.
Method 2:
Click a User to view the User details.
Click Edit User (pencil).
Follow steps 4 & 5 mentioned in Method 1.
🔄Reset Password
To reset the password, contact Admin as only admin will have access to reset the password.
🔄 Change Password
Click a User to view the User details.
Go to the User icon at the bottom-left corner to view the Change Password option.
Click Change Password.
This will open Alert – Change Password window.
Enterthe Old Password and the New Password to change the password for the selected User. Thepassword should be 6 to 30 characters long and include at least one uppercase, one lowercase, one digit, and one special character.
Discard if you have accidentally clicked.
🗑️Delete User
Method 1:
Navigate to the Users section in your QAS.
Hover your mouse over a User in Users section, Delete option will appear.
Click Delete (bin)
This will open Alert – Delete User window. Click
Delete to permanently delete the selected User.
Cancel if you have accidentally clicked.
The user will be deleted in Qualitia Automation Studio.
Method 2:
Navigate to the Users section in your QAS.
Click on the specific User you want to delete. This will open the User Details section.
Click Delete (bin)
Follow steps 4 & 5 mentioned in Method 1.

Creating a username is an important aspect of user management and security. Here are some best practices to consider:
Unique: Usernames should be unique to each individual. This helps to prevent confusion and potential security risks.
Avoid Personal Information: It's best to avoid using personal information such as full names, birthdays, or addresses in usernames. This information can be easily obtained and used for malicious purposes.
Easy to Remember: Usernames should be easy to remember, but not so simple that they're easily guessable.
Appropriate Length: A username that is too short may be easily guessable, while one that is too long may be difficult to remember. A good range to consider is between 6 to 14 characters.
Avoid Special Characters if Possible: Some systems might not support special characters in usernames, or they might create difficulties when integrating with other systems. If special characters are necessary, it's important to check compatibility first.
Consistent Format: If you're managing a large number of users, consider using a consistent format for usernames. This could be based on an individual's name (e.g., first initial + last name), which can make managing and organizing users easier.
Avoid Offensive Words: Usernames should be respectful and not include any offensive or inappropriate words.
Review: Regularly review user access to maintain security and prevent unauthorized access. Keep user information up to date to facilitate communication and collaboration.
Delete vs Inactive: If your use case is to temporarily deactivate the user (long leave), uncheck the Active checkbox instead of deleting. If the User is no longer with the organization or moved to a different role, you can consider deleting the User.
